Thanks for your input!

the document doesn't need to be anything that a client ever sees, what you are looking to do is just design a number of generic systems that 95% of our clients end up using anyway. Get comfortable with what is involved and study them. Ultimately you should be able to meet with your client, explain to or educate them on what the different services are that you provide, ask them what they know about your services and what they may be looking for and then be able to say "Well, what you are looking for will require x, y and z to accomplish which will bring you are $X for equipment and X number of hours so without going into deep design details you are looking at a ball park of $125k". Don't say anything else, wait for the client to respond, their response will tell you everything you need to know. They are either going to say "Yeah, that sounds about right" or they are going to maybe shit a brick or something. Either way you are not spending 8 hours to get to the same point of the conversation. If they agree to move forward you know you have a customer and you have a more focused view of what they want, now's the time to get the deposit and start system design.
