I have a commercial job that I just completed. We had it scheduled for a few weeks ago, and when we showed up, the customer supplied equipment was not on site. We rescheduled and completed the job today. I think that first visit should be charged for, but what do you call it on the invoice?
And how much?
I'm thinking the equivalent of 2 hrs labor, but would like to know what you all charge.

How much time did it actually waste and/or, what is your trip charge?

It's in a mall, so time to unload all tools and carry them in and back out, I'm not too concerned with that as I am having that block of time where I could have been on another job. We have been really busy the last couple of months.

Would this be considered a trip charge?

I would describe it as a trip charge, but in the details I would write:

Missed appointment. All [your company name here] personnel and equipment were on site with tools unloaded from the van, ready to work. Product to be provided by client was not on site. Time: 3 men x 2 hours = 6 labor hours at our normal rate (or whatever it was).

At that point you can indicate a good-will discount down to what you really wanted to charge.

I'd add a note on another line: In future, this kind of charge can be avoided by telephoning us 24 hours in advance of the agreed-upon time.
A good answer is easier with a clear question giving the make and model of everything.

This is a good time to come up with a policy for this. I think truck roll + the time for employees is fair.

So however many guys times however many hours plus the trip fee is more than fair.

Even if you charge for this you still lose because you had planned that full day and you had to pay your employees for the full day and then i imagine you had to screw around with the schedule to get back out there.

Installation Labor. I'd charge a minimum of half a day.

I just put the 2 hrs labor + trip charge, They have 4 more stores opening in the area in the next year and we should be doing all of them. We have one slated for next month so I'm not going to take it too far. I'm just going to make it clear that I will provide all equipment from now on.
Thanks for the input.

Just because they are providing the equipment I'd charge full hourly. Any time the client chooses to provide their own equipment, usually a way for them to save money, I make it clear that it's straight hourly.

In the event that they order the wrong, or broken, or missing part, I bill of the time wasted and they never complain because they know they messed up.

Add to contract....

"If the site is not ready when we have been scheduled for work, a 3 hour minimum per man scheduled will be charged as a change order."

Have a line item covering you on not warrantying the owner supplied stuff.

For this invoice you should do as Ernie Gilman said.
In the future when a customer decides to supply you stuff tell them upfront that the items must be there at the agreed upon time or there will be a charge for the trip plus man hours.

If it's the first time and they have 4 more jobs for you I would make a note but I would NOT charge them. If it happens again I charge full price for the whole wasted day.
